Introduction

The Xtensible Real Estate Management System is a full featured real estate listing and buyer/renter management system as well as a web content management system. Because of the system's large scope every effort was made to make the management suite easy to use, intuitive and secure. It is designed to replace other management approaches such as spreadsheets, other computer programs, and paper records. While we can't promise a “paperless office,” many of your most important records will now be stored electronically, which means that they can easily searched for and they can be pulled up instantaneously. As a content management system, Xtensible Real Estate Management System allows you to modify your web content easily, without need for a software developer. This will undoubtedly save you time, money and effort.

Role Management and User Management

The Xtensible Real Estate Management System uses role based security. Unlike other systems, this means that all users do not get an “all access pass.” The broker can define roles in the system and then give his or her associates the appropriate roles. For example, a broker may decide that only a broker or associate broker can enter listing information into the system (perhaps to verify that there is no erroneous listing information). To accomplish this, the broker would only provide Brokers and Associate Brokers access privileges to modify any listing. Our system gives brokers an unprecedented ability to fine tune how a Broker's associates can use the system.

Below is a screen capture of the Group Policy Manager; it shows a popular scenario: agents can modify their own listings and buyers, but cannot modify anyone else's listings and buyers. They also cannot make modifications to the website or grant any other people access to the system.

User management is just as easy as role management. Anyone with the “Add/Edit User” access privilege (such as a Broker) can easily grant new users (e.g. new agents) to the system. Below is a sample screen capture. Notice that there is no field for password. Xtensible Real Estate Management System uses a secure system for handling of passwords. For new users or users who forget their password, the system generates a random new password and emails it directly to that person. No one, including the Broker, will ever be made aware of that user's password. This helps prevent unauthorized users from using other users' login credentials.

Listing Management

Listing data entry in the Xtensible Real Estate Management System is very flexible. It is modeled after a popular time tested MLS listing form and allows for many details to be stored. Although your associates can get very detailed if they wish, very little information is actually required to create a new listing. This gives them the ability to place a listing on line before they've inspected the property to gather more details. Below is a screen capture of part of the listings form.

The Xtensible Real Estate Management System makes it very easy to fine tune what information is displayed to the public. As an example, suppose that you have come into an arrangement with a seller, but you do not yet have an exclusive listing. It is in your best interest to advertise the property so that you can get the sale, but it is not in your best interest to display the full address because buyers (or competing brokers' agents) can go directly to the seller and bypass your office. Our system allows you to only display partial addresses (city, state) for cases such as this.

Media management is a breeze as well. In competing solutions you often have to worry about image resizing/compression. Our system handles this for you. All you need to do is upload pictures and specify whether or not you would like to make them public (displayed on the website). The system currently takes all popular image formats (jpg, gif, png, bmp). A future release will allow you to upload other media types, such as Flash movies.

The Xtensible Real Estate Management System gives you the ability to manage your potential buyers and renters. The system allows you to quickly match buyers to listings, based on what they are looking for. All records in the Xtensible Real Estate Management System are audited. This allows you and your associates to back track and find when information was incorrectly entered into the system.

The Xtensible Real Estate Management System provides easy to read tabular reports. We currently offer contact reports, buyer/tenant reports, listings reports and office personnel reports. More reports will be added to the system based on customer requests.

Web Content Management

The system allows you and your selected associates to modify (non-listing) web content. The home page editor allows you to add text, images and “featured listings.” An editor will soon be released to allow customization of any web page as well. The screen capture below shows a section of the page that includes text and an image.

Your Real Estate Website

Until now, we've only discussed the management of your listing data and web content. This is only half of the system. The second half is the part that the public actually sees. Your website is a combination of your content and data and our design and infrastructure. All of our web designs are created by a professional web designer. The infrastructure is maintained by professional software developers and IT personnel. Below is a screen capture of a real estate web site's home page. The Xtensible Real Estate Management System is very competitively priced. We are currently only offering office packages. We will soon release “lighter” packages to agents and single person offices as well.

The management system and website is $995 for the first year and $495 annual renewal fee afterward.
